The individual will work alongside a small group of executive assistants to provide administrative support to GADS executives and leadership team. The successful candidate will anticipate the needs of stakeholders, take initiative to problem solve, expertly manage calendars and emails, and always display appropriate prioritization and judgment. Success in this position will also require the ability to interact with other executive assistants and managers credibly and competently within and outside the GADS organization.


Responsibilities

  • Calendar management responsibility for internal and external meetings–using insight, decision-making, and prioritization skills with regards to managing action items
  • Organize meetings, travel, events, and other on or off-site conferences
  • Coordinates visits of executives: full itinerary (meeting times, special events, socials, dinners), logistics, required travel documents and special arrangements
  • Owns and optimize travel plans of executives
  • Manages expense reports to ensure on-time submission with required detail and accuracy
  • Completes ad-hoc and/or on-going projects and special assignments that ranges from financial/budget reporting, professional presentations, information gathering, budget/process planning, and following-up on key meetings decisions (as this is a ‘trust based position’ – scope and depth of assignments could be expended/moderated)
  • Ensures confidentiality of all sensitive information, data, and communications in order to protect privacy, maintain confidentiality and protect organization
  • Provide general administrative supports

Requirements and Relevant Experience

  • Minimum 3 years’ relevant work experience in similar role
  • University Degree or equivalent highly preferred
  • Advanced knowledge of MS Office including Outlook, Excel, Word and PowerPoint with ability to create high quality presentation and correspondence required
  • Experience and knowledge with Concur, Workday preferred
  • Must have demonstrated strong interpersonal and communication skills (both written and verbal), to include speaking clearly and persuasively in positive or negative situations and with all levels in the organization
  • Experience working in matrixed international company (technology sector an advantage)
  • Ability to handle multiple tasks by priorities; Take proactive approach to seek guidance on priority
  • Excellent time management skills: Ability to work independently, meet deadlines in a fast-paced changing environment, and resolve issues with minimal supervision
  • Must be results focused and highly energetic to drive the defined team and organizational goals
  • Natural willingness to step up and take on projects/tasks necessary to support the business without concerns to where the responsibility “should” be
  • Passionate about the business; will be a strong external ambassador / advocate for the business and will be highly collaborative with the ability to work successfully across teams, regions and functions
  • Positive attitude that brings team together
